To be successful you must take action, but damn there’s so much action to be doneYou want to make time to work on your passion project, but you’re mostly thinking about how you need to pick up groceries on your way home from your 9-5 job because otherwise you won’t be having dinner tonight.  

One massive tip that’s been proven to aid in staying productive and being successful is being organized. For most of us that all starts with our daily calendar. There’s a reason we’ve used calendars for so long, but it’s about time we elevate this system.  

Level Up Your Calendar

To elevatyour calendar, you must organize tasks from events. If you’re anything like me, you eagerly discharge your thoughts into lists. So much so that your calendar now has a grocery list for Friday that may spill into Saturday, a ‘remember these documents you need for the vet’ for Thursday, and an event for ‘assignments you’ll tell yourself is due Thursday so you have a chance at submitting everything on their actual due date of Friday.’  

Regarding stress levels alone this system isn’t going to keep you in the best state of mind, let alone be productive. Maintaining a positive mindset allows you to see that your goals are reachable. You have the time to do what you love. Let me show you how to make your calendar work for you instead of against you: 

Calendar Tasks:

Save the list making for apps that are made for lists. 

For example, having one grocery list that you edit once a week will feel much less overwhelming than starting a new one every time.

One major to-do is staying on top of bill payments. You can also make sure enough funds are in the account you use for paying bills without having to check yourself. One less thing to worry about! 

A day before my monthly loan payment is due, always create a calendar event

Add a calendar event titled "Transfer funds to account" when my account doesn’t have enough money to cover the next bill

Now for the main event – the meetings, appointments, catch-ups with friends. 

You may find this useful at work, but it can also come in handy for staying organized with friends/family events too.

In case you can’t rid the habit of creating lists in your calendar, we have a way to do the opposite of our first category suggestions. You can save descriptions from calendar events into apps like Trello or Todoist.

Know When to Press Pause

In order for our calendars to be the most useful to our lives, we must know when to press pause. One task at a time.  

Mute phone calls during all meetings, unless the same number calls 3 times in a row

Update Slack status as ‘busy’ when calendar events in Microsoft Outlook are present, and disable when event ends

Receive text messages in an email when Google Calendar events start

Trust that you’ll be alerted when something is upcoming, but know to stay in the moment in order to be productive, focused, and present.

Text me at 9am with first Google Calendar and Microsoft Outlook event for the day
